I am curious how other folks handle ILT/VILT. We have run into a number of roadblocks and I am wondering how others work around these issues that are occurring.

Examples:

  1. Zoom integration is not reading back to TI the attendance.
  2. Zoom is sending links to learners and we want them to attend through TI.
  3. Private sessions (unreleased) not showing up in learning paths.
  4. Co organizer cannot download the video to upload because the passcode is not being sent and it is company policy that a passcode is required.
  5. When a recorded webinar is received, how can we add it as a session to allow folks to attend live or the recorded version? Like an Equivalent.

Hi Grace! I have a lot of similar questions as you. Below are some of the workarounds we have implemented. Going to follow this thread to see if others have some best practices to share.

-Kristin

Zoom integration is not reading back to TI the attendance.

  • We disable automatic attendance in the event tab and record it manually. Not ideal - but at least we can use the attendance as a completion criteria this way. If we forget to take attendance during the class - we just cross reference with the zoom attendance report and then go back into TI and mark each student as attended.

Zoom is sending links to learners and we want them to attend through TI.

  • We have not found a solution to this. Every VILT - students join through the zoom link (because of the calendar invite). So part of our VILT process is to begin each class with an introduction and then we immediately go into the learner dashboard and have learners access the class from there. In total - this takes up about the first 5-10 minutes of each VILT.

Private sessions (unreleased) not showing up in learning paths.

  • No experience with this one.

Co organizer cannot download the video to upload because the passcode is not being sent and it is company policy that a passcode is required.

  • I am assuming you are referring to zoom here? This might be a setting in zoom you can inquire about. Our zoom recording notification comes through via email with the passcode.

When a recorded webinar is received, how can we add it as a session to allow folks to attend live or the recorded version? Like an Equivalent.

  • Not sure if this is relevant to your question - but after each live webinar, we have someone manually take the recording from zoom, download it, load it to wistia, and then create a new content type “Recorded Webinar.” We then have a specific “Recorded Webinar Library” catalog underneath our “Live Webinar” calendar - so people can access previous recordings at their leisure.

Hi Grace,

  • Zoom integration is not reading back to TI the attendance.

This works for us.  On the Zoom side we set “registration required” when creating the event and we then import this into TI.  Attendance is recorded on the TI platform.

  • Zoom is sending links to learners and we want them to attend through TI.

We disable all Zoom notifications (either edit the settings in Zoom when importing the event or you can also disable zoom notifications in TI). Then in our registration confirmation email (learner notification), we use the {{joinLink}} which forces a user to login to TI (if they aren’t already) before it launches Zoom.

  • When a recorded webinar is received, how can we add it as a session to allow folks to attend live or the recorded version? Like an Equivalent.

We do the same as Kristin mentioned above.  We have a separate contentType called “Event Replay” and the team upload the recordings here.

Thanks,

Jeananne

Just adding here that in addition to “registration required” being turned on for the zoom meeting, we also make a note that the learner should register for the zoom meeting with the same email as their TI account. If the learner registers for the meeting with an email that doesn´t match their TI account, attendance won´t be recorded automatically.
